Privacy Policy 

London Wine Tasting Ltd organises and hosts wine tasting events and also provides curated wine advice.  

The purpose of this policy is to give you a clear explanation about how we collect and process your personal data. We are committed to protecting your personal data.

The personal data we collect and how we process it


We process your data on a basis of lawful consent, therefore you are entitled to withdraw that consent at any point. We will do our best to comply with this request however, we may need to keep information for auditing, financial purposes or to comply with the law. In this case, we will therefore do our best to ensure your data is completely anonymised and not shared with any third party.

Personal data collected by London Wine Tasting Ltd via our website, email telephone or in person may include some or all of the following:

  • Your name 

  • Your address

  • Your email address 

  • Your telephone number

  • Your date of birth (this may be requested, to comply with legal requirements surrounding the sale of alcoholic beverages to those aged 18 or over) 

  • Your location data 

  • Your financial data to process any order that you make

  • Historical data of your previous orders and other transactions for the purpose of maintaining accurate sales and transactional records as well as to tailor further marketing communications. (where you have opted to receive further communications as part of our email distribution list)

  • We may also be sent your personal data which includes the following data mentioned above, if you receive a gift via another person, in which case the data will only be used to complete the transaction as specified by the purchaser and where it is necessary to keep data for ongoing administrative, legal, or security purposes. This data will be processed on a contractual lawful basis and will only be stored to fulfil the contract between us and the purchaser. This data will not be used for marketing communications from London Wine Tasting Ltd in this instance, Unless the individual who receives the gift chooses to register with us and receive such communication

  • Any allergen or personal health details you may choose to provide will be kept securely at all times. 


In addition, the following may be collected:

  • Comments and Product Reviews

When visitors leave public comments or reviews on the site we collect the data shown in the comments and review forms, and also the visitor’s IP address and browser user agent string to help spam detection. These comments and reviews may be shared with our wine suppliers on an anonymous basis (i.e. your comment but none of your personal data such as name, address, email address nor telephone number will be shared).

  • Embedded content from other websites

Articles on this site may occasionally include embedded content (e.g. videos, images, articles, etc from other websites). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website. These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website. In that case, please refer to the privacy policy of the other website in question.


Please note, for users who create an account on our website, we store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time. Website administrators can also see and edit that information. 



Marketing 

We will not contact you with marketing or promotional offers without your explicit consent. Your marketing preferences will be collected when you sign-up to our email distribution list and/or our subscription service, this data is collected to provide you with relevant offers and company updates. A log of any queries and feedback that you make as well as frequency and click rate of website and email use by registered account holders, and use of Cookies (see below for our Cookie policy) to ensure that we continually improve our services to you and make sure our website suits your needs as best as possible.


How long we retain your data

We retain your personal data for no longer than is necessary or required by law to carry out your transaction and fulfil our legal obligations. In order to comply with retention best practices, we will automatically delete your account information if you have not interacted with us for one year (either logged in or purchased from us).

If you have purchased access to a wine tasting event from us we will store all relevant data for the order itself a further 6 years after the last completed transaction, before anonymising this data, unless you specify otherwise. The exception to this is where we are obliged to keep or that it is necessary to keep data for ongoing administrative, legal, or security purposes.

If you leave a comment or a product review, the comment or review and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.


Security of your data 

We place the highest importance on the securing of your personal data. We make every effort to protect our databases against loss, theft, unauthorised access, disclosure, copying, unauthorised use or modification.

We only allow those of our employees who require access to such information in order to fulfil their duties to have such access. 

For security purposes we use software programs to monitor traffic to identify unauthorised attempts to upload or change personal data, to screen our system for viruses, or otherwise cause damage to our database.

When it is necessary for you to make a card payment, e.g. for payment of our services; information is handled by established industry partners. However, no data transmission over the Internet can be guaranteed to be totally secure. As a result, whilst we strive to protect your personal information, we cannot ensure or warrant the security of any information which you send to us, and so you do so at your own risk.

When we outsource any processes, we require the third-party supplier to have appropriate security measures in place and be compliant with the GDPR principles. We require all third parties to respect the privacy of your personal data and to treat it in accordance with the law.

Third-party service providers should process your personal data for specified purposes and in accordance with our instructions and should not use your personal data for their own purposes.

If a data breach were to occur, we would inform you of this as soon as possible and in compliance with data protection law and we would act quickly to secure your data.

Where we send your data

The personal data collected from you by London Wine Tasting Ltd is for internal use and is kept on our website and servers. We may only send your data to third parties for the following reasons:


  • We are required by law, or where necessary to establish or defend legal claims and uphold our, your or others’ legal rights

  • We will share with our email, financial and logistical service providers (our email marketing provider) 

  • We will share your data with our payment provider or courier company when arranging payment and delivery of your wine, as part of the usual email marketing, ordering and transactional processes for London Wine Tasting Ltd. 

  • We may also use your personal data where your wine delivery requires additional insurance coverage or other such mitigation of business risk.


Please note: we will not sell nor share your personal data with any other third parties for any other reason whatsoever. Visitor comments may be checked through an automated spam detection service.



The rights you have over your data

The General Data Protection Regulation provides certain rights for individuals. Please note that you may only use/benefit from these in defined circumstances. We will do all we can where possible to assist you (you will be required to supply identification in order for us to process this request, and this may take up to two weeks to process).

Request access to your personal data

You have a right to request a copy of the personal data that we hold about you. Please use the contact details at the end of this policy if you would like to exercise this right. You can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we amend or erase any personal data we hold about you.

Request correction of your personal data

You have the right to request that we correct the personal data we hold about you, although we may verify the accuracy of the new information you provide to us. You will be able to amend your personal data or request us to amend it.

You may also update your marketing preferences to receive more personalised offers and communications, or click on ‘unsubscribe’ at the bottom of any marketing emails.

Please note that this does not include any data we are obliged to keep or that it is necessary to keep for administrative, legal, or security purposes.


Request ‘erasure’ of your personal data (The right to be forgotten)

You have the right to request that we delete or remove personal data where there is no good reason for us continuing to process it.

As noted above, we may not always be able to comply with your request for erasure if there are specific legal reasons. We will convey these reasons to you once the application is made and assessed.

Object to processing of your personal data

You have the right to object to the processing of your personal data where we rely on a legitimate interest (or those of a third party), and there is something about your particular situation which makes you wish to object to processing on the grounds that it impacts on your fundamental rights and freedoms.

Right to withdraw consent

In circumstances where we rely on your consent to process your personal data, you have the right to withdraw your consent at any time. However, this will not affect the lawfulness of any processing carried out before you withdraw your consent.

If you withdraw your consent, we may not be able to provide services to you. We will advise you if this is the case at the time you withdraw your consent.

Right to data portability

In certain circumstances, we will provide to you, or a third party you have chosen, your personal data in a structured, commonly used, machine-readable format.

Please note that this right only applies to automated data which you initially provided consent for us to use or where we used the data to form a contract with you.

Our use of Cookies

To improve your experience on our site, we may use ‘cookies’. Cookies are an industry standard and most major websites use them. A cookie is a small text file that our site may place on your computer as a tool to remember your preferences. You may refuse the use of cookies by selecting the appropriate settings on your browser, however please note that if you do this you may not be able to use the full functionality of this website.

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.


Refunds
Refunds will be offered up to 72 hours before events. After this time, refunds cannot be offered but an alternative date will be provided instead.


Covid safe policy

  • We will continue to undertake a rapid antigen test before each tasting to ensure a negative result

  • All LWT staff are fully vaccinated

  • We continue to adhere to the highest recommended standards of hand washing hygiene and all glassware is sanitisied to a dishwasher temperature of 65 degrees after each event.
